CRM · QUOTES & PROPOSALS
Create a consistent path from a customer conversation to a quote, estimate or proposal, with the commercial details linked to the right client.
CRM AT WORK
A proposal is part of the customer relationship, not a loose file. Field Serve helps keep the offer, the customer and the opportunity connected so the team can follow up with context.
Start from the account you are already working on.
Describe the scope, items, assumptions and pricing for the customer.
Share the quote, estimate or proposal using your configured communication method.
Record the outcome and next steps against the customer history.
FROM PRICE LIST TO CUSTOMER APPROVAL
A quote should show the customer what they are buying, what assumptions the price depends on and what the team will do once it is accepted.
Open the customer or opportunity first. Confirm the recipient, billing details, service address and the contact who can approve the work before drafting an offer.
Select the appropriate products or services from the workspace’s price list, then confirm quantities, units and any customer-specific adjustments. Do not assume a list price includes taxes, travel or third-party charges unless the quote says so.
Explain deliverables, dependencies, timetable, customer responsibilities, validity period and exclusions in plain language. A short scope note can prevent a much longer disagreement later.
Record when the quote was prepared and sent, who received it, whether a revision was requested and the decision. On acceptance, carry the agreed scope into the project or work order.
A CONTROLLED APPROVAL ROUTE
Agree which products may be quoted without review, which discounts need manager approval and who can change the shared price list. A salesperson can draft an offer from the agreed catalogue while a designated approver checks unusual terms or margin-sensitive work. Keep the approval decision and final version with the customer record.
Before sending externally, check the recipient and attachment, the currency, tax treatment, calculation, terms and validity date. If the customer replies by email, retain the response in the account history so the team does not act on an outdated version.
Keep a named owner for each catalogue item, a review date and the conditions under which it applies. When a price changes, agree how open quotes will be treated rather than silently changing a previously issued offer.
QUOTES AND PROPOSALS
The workflow is designed to start from a customer or opportunity so the offer and its follow-up remain connected. The exact document fields and sending method depend on the configured workspace.
Access is intended to be restricted by role. Your administrator should maintain the shared catalogue and confirm which staff may select items, apply discounts or request an exception.
No. A quote or proposal records a commercial offer; use your agreed contract and approval process for binding terms, data-processing terms and service commitments.
